Board Meeting Minutes — All Accessible Sports Complex & Park, Inc.

Melissa Eaton, Sally Grimm, Jeff Williams, John Pekar, Ed Gamble, Derek Upp, Brock Newman, Therese Ryckman

III. APPROVAL OF MINUTES:

Sally Grimm made a motion to accept, Brock Newman 2nd motion, all voted to accept minutes of October 14th, 2024 meeting.

IV. BUSINESS:

  1. Balance in fund - $698,892.79. No changes since the last meeting.
  2. Follow up discussion about partnership with Lancaster Rotary Club. John Pekar attended the Rotary meeting, and Rotary is welcoming of partnership. Rotary feels that raising the needed funds is attainable.
  3. Shelly Orlando who is in charge of fundraising with the Rotary Club met with chairperson Melissa Eaton to come up with a Memorandum of Understanding (MOU) agreement. Both Rotary Club and All Accessible Sports Complex will come together to raise funds. All Accessible Sports Complex will have a say in the ball field, while Lancaster Rotary will have a say in the park. Ultimately the goal is to come together to complete the project. The MOU agreement was sent to Mitch Harden, assistant law director at the City Prosecutors Office to review and give any feedback. There was a motion to approve the MOU agreement by Derek Upp. The 2nd motion was made by Brock Newman. All voted to accept MOU agreement. Any updates on the MOU agreement will be sent to the board in an additional email.
  4. Fairfield County auditor Carri Brown addressed the concern that there needs to be a public bid process with the grant money All Accessible Sports Complex receives. Mitch Harden reviewed and believed working with OMNIA there is no need to go through the public bid process.
  5. Chairperson Melissa Eaton spoke about the 35 hours give event through the Fairfield County Foundation. The board also discussed other ways to fundraise as well as get the word out to the public about this facility.
  6. Next meeting is scheduled for Wednesday December 18th, 2024, at 6:00 PM at SOCIAL, 418 South Broad Street, Lancaster Ohio, 43130.

Motion to approve by Sally Grimm, 2nd motion by Melissa Eaton. Number of board members approve: 7. Number of board members deny: 0.
